Tips for Attending Public Meetings on Zoom
Attending Public Meetings on your Computer/Zoom Mobile App
How to Join
Meeting agendas for boards and committees are posted on the Agenda Center, which can be viewed at this link: Agenda Center.
- Navigate to the board or committee agenda in the agenda center you are looking to attend.
- Download and open the agenda.
- The Zoom information including Zoom link, Meeting ID, Passcode and Dial In Toll-Free number will be available at the top of the agenda.
- Join the meeting. You may be asked to download and install Zoom if you haven’t already. This is not necessary (you can join a Zoom meeting directly through your internet browser), but it is recommended.
How to Participate During the Meeting
In some meetings (e.g. Select Board), by default, you are not able to:
- Unmute your microphone or show your face,
- Use text chat,
- Share your screen.
To participate in Public Comment or other parts of the meeting, you may click "React" and then "Raise Hand" to ask to speak.
How to Join
If you prefer, you can also use any telephone to call into Zoom meetings just like an ordinary phone call.
- Get the Meeting ID. You'll need the meeting's unique "Meeting ID" to call into the meeting on your phone. You can find it by:
- Checking the meeting Agenda. Each agenda will have a Meeting ID at the top of the agenda.
- Call the meeting when it starts. You'll need the meeting's "Dial In Toll-Free" number to call into the meeting on your phone. You can find it by:
- Checking the meeting agenda. Each agenda will have a "Dial In Toll-Free" number at the top of the agenda.
- Call the "Dial In Toll-Free" number.
- Enter the Meeting ID, and hit "#".
- If Zoom asks you for a "Participant ID, just hit "#". You do not need a Participant ID.
- You do not need a passcode when calling in by phone.
How to Participate During the Meeting
In some meetings (e.g. Select Board, by default, you are not able to:
- Unmute your microphone,
- Use text chat, or
- Share your screen.
Instead, you can 'raise your hand' and ask to speak by hitting "Star-9" (*9). Hit "Star-9" (*9) again to lower your hand.
If the meeting's Host/Staff member wants you to speak, you will hear a voice message, "The Host would like you to un-mute your microphone. You can press *6 to un-mute." Hit "Star-6" (*6) to un-mute your microphone. You can hit "Star-6" (*6) again to mute yourself again.
